Legal
Privacy policy.
How we collect, use and protect your personal and health information.
Who we are
The legal entity behind this clinic.
This website is operated by Outcome Health, a Victorian primary care organisation established in 2007. Outcome Health Psychiatry & Mental Health Services is a consulting psychiatry practice of Outcome Health.
For privacy matters, contact our Privacy Officer at privacy@outcomehealth.org.au or by mail at Ground Floor, 1 Chapel Street, Blackburn VIC 3130.
What we collect
The information we ask for, and why we ask for it.
We collect personal information when you:
- Submit the patient or referrer enquiry form (name, contact details, reason for enquiry, GP referral status, anything else you tell us)
- Attend an appointment (full clinical history, medications, screening tool responses, family and developmental history, consultation notes)
- Send a referral as a GP (your name, practice, provider number, patient identifiers, clinical context)
- Email or phone us
We collect this information so we can provide safe, evidence-based psychiatric care and meet our legal and Medicare obligations.
How we use it
The lawful purposes only.
Your information is used to:
- Provide and manage your psychiatric care
- Communicate with your GP and other treating clinicians (with your consent) as part of shared care
- Process Medicare claims and bill correctly
- Meet our legal and regulatory obligations (AHPRA, RANZCP, Medicare, ATO, public health)
- Improve the quality of our services internally
We do not sell, rent or trade your personal or health information. We do not use your information for marketing without your explicit consent.
How we share it
When and with whom your information is shared.
We share your information with:
- Your referring GP (consultation letters, treatment plans, shared-care updates)
- Other treating clinicians at your request (psychologists, allied health, hospitals)
- Medicare and your private health insurer for billing purposes
- Halaxy, our practice management system (compliant with Australian healthcare data hosting requirements)
- Government authorities where legally required (mandatory reporting, subpoena, public health)
If we ever need to share your information in a way not covered above, we'll ask your consent first.
How we protect it
Storage, security and retention.
Your clinical records are stored in Halaxy, a secure Australian healthcare practice management system. Records are encrypted at rest and in transit. Access is limited to authorised clinical and administrative staff on a need-to-know basis.
We retain adult psychiatric records for a minimum of 7 years after the last consultation, in line with the Victorian Health Records Act 2001 and RANZCP guidelines.
Enquiry-form submissions from people who do not become patients are retained for up to 12 months and then deleted. If you ask us to delete an enquiry sooner, we will.

You can access, correct, and complain.
Under the Privacy Act 1988 and the Australian Privacy Principles, you have the right to:
- Access your personal and health information held by us
- Request correction of information that is inaccurate or out of date
- Lodge a complaint about how we've handled your information
- Have an unresolved complaint reviewed by the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au
To exercise any of these rights, contact our Privacy Officer at privacy@outcomehealth.org.au.
